About job

Proactively anticipating the needs of the guests so solutions can be offered before being requested, personalizing the delivery of the service to meet the specific needs of each guest, and reminding the guest of scheduled events and appointments. Providing the guest with an experience that will always be remembered and with the highest level of responsiveness.

Key Responsibilities:
  • Concierge Services:
    • Ability to multi-task: telephones, computers, and guests that are in front of you. Quick thinking, ability to give clear, concise directions (walking, driving, and verbal), refer/ recommend activities and services as well as information on the local area.
    • Provide personal services of the highest level that may include, but are not limited to restaurant reservations, transportation service, ground excursion requests, recreation requests, floral orders, boat tours, etc. 
    • Monitor and analyze guest service and satisfaction ratings and address issues accordingly.
    • Ensures the shift checklist is completed.
    • Assure prompt and positive action on all guest complaints, questions, concerns, and suggestions, as well as to conduct quality assurance follow-up. 
    • Welcoming and serving guests in a courteous, efficient, and friendly manner, both face-to-face and on the phone. 
    • Ensures smooth inter-departmental communication and coordination of activities impacting homeowners, walk-in guests, and all Lustica Bay visitors. 
    • Maintain a work environment of cleanliness and organization. 
    • Ensures timely and accurate communication of information and activities to Lustica Bay homeowners and guests.
    • Provides concierge services to guests and homeowners in and out of season to maximize the customer experience. 
    • Responsible for: providing, always maintaining, and promoting hospitality at the highest level.
    • Assists all coordinators and line manager in providing quality communication as the central points of contact for the clients, identifying and proactively resolving their needs in coordination with senior coordinators.
    • Assists in solving all client related requests with relevant departments and ensures timely response and reaction, obeying the set of procedures and policies.
    • Assist in running the client relations office, taking care of daily supplies.
    • Helps in creating necessary reports on client-related statistics.
    • Assist in properly maintaining the client relations software, and always takes care of data accuracy to provide to senior colleagues.
  • Planning and Reporting: 
    • Participates in preparing annual or other surveys for clients in coordination with senior colleagues.
    • Consolidates annual survey results in the form of report and presentation.
Qualifications, experience, and skills:
  • Minimum Qualifications:
    • Minimum of High School Education. 
  • Job – Specific Experience:
    • 2 years’ experience with the focus on client experience.
    • Fluent in English language, both verbally and in written.
  • Person Specification:
    • Understands the importance of and acts with discipline, a high degree of accuracy and takes the initiative to drive results within established processes.
    • Works independently & autonomously within agreed processes; applies integrative thinking to make appropriate decisions and take necessary actions.
    • Manages multiple tasks, maintaining quality, accuracy, and speed of completion, operating with high degree of accuracy.
    • Communicates clearly and openly with stakeholders, sharing relevant information in an accurate, effective, and timely manner.
    • Strong written and verbal communication capability, with good questioning and listening skills; able to interact professionally and positively with a variety of internal and external stakeholders.
    • Demonstrates will in participating in decision-making, taking information, and establishing proposal for actions necessary.
    • Demonstrates effective problem-solving skills; able to receive and analyze data and make grounded recommendations to senior colleagues.
